Job Description:

Altius Institute for Biomedical Sciences, located on the Seattle Waterfront, is searching for a full-time, technology savvy, Executive Assistant to provide high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for executives. About Altius: Altius Institute for Biomedical Sciences is an independent, non-profit research institute located in Seattle, Washington. Altius is pioneering new technologies and approaches for decoding how genes are controlled and how a cell’s "operating system" functions in health and disease. We couple the scientific creativity and innovation of an academic environment with previously unavailable integrated capabilities in instrumentation, automation and computation

Specific responsibilities include:

* Manage the operation of internal and external meetings (AV, materials, booking meeting spaces, travel, coordination with collaborators, etc.)
* Maintain Executive calendars including internal, external meetings, travel, deliverable and critical dates, conferences, and speaking engagements
* Altius event planning: quarterly science days and after events, Fellows’ retreats and after events, leadership retreats and after events, symposiums and after events, Altius board meetings, and national scientific conferences
* Draft, edit, and format documents (reports, memos, emails, letters, CV’s, NIH Bio sketches, presentations, etc.)
* Make travel arrangements for Executives
* Submit expense reports for Executives
* Submits reimbursements for Executives
* Oversee corporate apartment
* Order office supplies, kitchen supplies, staff meals and meeting meals
* Schedule vendors
* Oversee conference lines
* Maintain President’s presentations and publications archive
* Maintain President’s task list
* Arrange travel, accommodations, meals, entertainment, and reimbursements for visitors

Experience and Skills:

The successful candidate will have:

* Bachelor’s degree from a four-year college or university and 3-5 years of related Executive Assistant experience or the equivalent combination of education and experience
* Advanced technology skills including Microsoft Office, One Note, Keynote, Google Docs, Google Sheets, Acrobat, Slack, Trello, Evernote, Outlook, Excel, and Word
* Ability to learn various software applications
* Experience managing outside vendors
* Experience managing travel arrangements and calendaring
* Strong organizational, interpersonal, and decision-making ability
* Excellent written and verbal communication skills
