Job Description:

Wright Runstad & Company is seeking an Executive Assistant to join our team in downtown Seattle to coordinate the efforts of our Development Department.

The Executive Assistant will coordinate the efforts of the Development Department on all current and future projects, specifically with the Director of Development. Perform duties as part of a team with direct communication to project managers and assistant project managers. Relieve managers of clerical work and other administrative and business detail by performing the following duties:

* Manage high-level calendaring and scheduling for Director of Development
* Read and route incoming mail within the development department
* Compose routine correspondence, reports and other documents
* Organize and maintain detailed file system, and file correspondence and records
* Answer and filter executive’s telephone calls and e-mails
* Return phone calls and emails to vendors and consultants, and answer questions when able
* Create and organize presentation materials for various meetings
* Coordinate payment requests with accounting department for varying projects
* Arrange and coordinate travel schedules and reservations
* Coordinate and arrange meetings, greet visitors for meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings
* Plan events for major project milestones
* Assist with creating proposals and marketing materials for new projects
* Work with and support CEO, President, CFO, and project managers as needed
* Run errands as needed - i.e. pick up permits and plans and track permit status
* Other duties as assigned

Experience and Skills:

The successful candidate will have:

  • Two years’ executive assistant or three years’ administrative assistant experience in a fast-paced environment
  • Experience in commercial development office preferred
  • Proficient in Microsoft Office and Adobe Acrobat
  • Experience with Microsoft Project, Adobe InDesign, and Adobe Illustrator preferred or can be trained
  • Detail-oriented and highly organized
  • Able to handle several tasks/projects at one time and prioritize needs
  • Excellent verbal and written communication skills
  • Fast typist preferred
